The Virtual Assistant Connection: Save Your Fan Mail

Clients love having a Virtual Assistant and, from time to time, will send what I call “fan mail.”

Fan mail might be a gushing thank you in an email, a snail mail card, or sometimes a gift. It’s easy to brush off fan mail or not make much of it, but I think that’s a missed opportunity to feel great.

Here are some suggestions for how to handle your fan mail when it arrives: 

  1. Make sure you take it in. Sometimes I’ll be reading an email quickly and see “Thank you, blah, blah, blah,” when actually what it says is “Thank you so much for your amazing work. You saved me so much time and I really appreciate how much I can depend on you.”

    WOW, what a difference, right? So, when you see comments like that, I want you to stop in your tracks, read them over a few times, take a deep breath and congratulate yourself for doing a great job and having such a happy client. Don’t take this for granted – you’ve earned it. 

  2. Turn them into a testimonial. Ask your client if you can turn it into a testimonial. Reply to the email and let them know what a pleasure it is to work with them and that you’re so happy things are going so well. And then ask them if it would be ok to post this on your website. 
  3. Read your fan mail to friends and family. You don’t have to make a big deal out of this, but tell at least one person about the great compliment and nice gift your client sent you. Why not spread the word a little? 
  4. Save your fan mail. I have a folder in my inbox called “Fan Mail” where I store all of the emails that I’ve received over the years like this. For those that arrive via snail mail, I display them on my desk for a while and then move them to a fabric-covered box where I keep them safe. 
  5. Enjoy them over and over. Every once in a while, take your fan mail out of your box and re-read them; open that folder on your computer and remember all of those great moments. And while you’re at it, review the testimonials on your website.
